Privacy policy

This website is operated by The Pet Butler, a dog walking and pet sitting service based in Southsea, Hampshire. The Pet Butler is the trading name of Elaine McKay, a sole trader, who is the data controller for the personal data described below. “We” and “us” on this page mean her business.

What we collect

If you use our contact form we collect the name, email address, phone number (optional), the service you are interested in and your area or postcode (both optional), and the message you enter. We do not ask for any special category data, and you should not include any in your message.

Why we use it, and our lawful basis

We use these details only to reply to your enquiry and, if you go ahead, to arrange the services you have asked for. Our lawful basis is Article 6(1)(b) UK GDPR — taking steps at your request before entering into a contract — and, where an enquiry does not lead to a booking, Article 6(1)(f), our legitimate interest in responding to people who contact us.

Who we share it with

We do not sell your details, and we do not share them for marketing. We do use a small number of service providers who process data on our behalf:

• Resend — delivers your contact-form message to our inbox as an email. Resend is based in the United States, so sending the form involves a transfer of your data outside the UK, made under the UK Addendum to the EU Standard Contractual Clauses.
• Google Workspace — hosts our email, so your enquiry and our replies are stored in our Google mailbox. Google may process this data outside the UK, with safeguards set out in its data processing terms.
• Vercel, Inc. — hosts this website, processes standard server request data, and provides the anonymous visitor statistics described under “Cookies and analytics” below.
• PetSoftware (our booking system) — holds customer, pet and scheduling records once you become a client.

We may also disclose information where we are required to by law.

Do you have to give us your details?

No — you can call us instead. But we need a name and a way to reply in order to answer an enquiry or arrange a service, so if you use the form and leave those out we won’t be able to get back to you. We do not make any decisions about you by automated means, and we do not profile you.

How long we keep it

Enquiries that do not lead to a booking are deleted within 12 months. If you become a customer, we keep your records for the duration of our relationship and for 6 years afterwards, so we can meet our accounting and insurance obligations.

Reviews, testimonials and photos

We publish customer reviews and testimonials under the name the customer gave, and photographs of pets in our care. We do this with permission, on the basis of our legitimate interest in showing prospective customers our work. If you are named or pictured and would like your review, name or photograph removed or shortened to a first name, email us and we will do it — no explanation needed.

Cookies and analytics

This website sets no cookies at all and uses no advertising or tracking technology. Our fonts are served from our own domain rather than a third party. We use Vercel Web Analytics and Speed Insights to count page visits and measure how quickly pages load. They store nothing on your device, do not identify you or follow you across other websites, and only give us anonymous totals. If we ever add anything that does need your consent, we will update this page first and ask you.

Your rights

Under UK data protection law you have the right to access your data, have it corrected or erased, restrict or object to how we use it, and request portability of data you gave us. Where we rely on consent, you can withdraw it at any time. To exercise any of these, contact us using the details below — we will respond within one month.

Complaints

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority, at ico.org.uk or on 0303 123 1113.
